Office Manager
Duties:
- Oversee and manage all administrative and clerical tasks in the office
- Maintain and organize files, documents, and records
- Assist with financial management of the corporation, including but not limited to: Issuing invoices, following up on outstanding payments, monitoring and issuing payments to third party vendors and sub-trades, processing payroll
- Entering all financial data into Quickbooks
- Coordinate and schedule projects, staffing and sub-trades
- Manage office supplies and ensure efficient operation of office equipment
- Management of inventory for for projects, including inventory forecasting
- Handle incoming and outgoing correspondence
- Overseeing and arranging scheduling of projects between clients and Supervisor and providing updates to each party as project progresses
- Implement and maintain office policies and procedures
- Complete site visits and assist Supervisor with on site organization and staffing coordination
- Complete drops off/deliveries to post office
- Carrying out all on boarding procedures for new staff, including setting up payroll, completion of appropriate tax forms and training as needed
- Cleaning of the shop and putting away stock
- Making arrangements for delivery and coordination of same during office hours
- Attending sites to receive onsite deliveries and taking inventory of same upon delivery
Skills:
- Excellent organizational and time management skills
- Must be able to work independently
- Strong attention to detail
- Proficient in Microsoft Office Suite (Word, Excel)
- Proficient in Quickbooks is a must
- Ability to prioritize tasks and meet deadlines
- Effective communication skills, both written and verbal
- Strong problem-solving abilities
- Experience with vendor management
- Strong data entry skills
We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager. As the Office Manager, you will need to be able to work well independently and customer oriented. You will be responsible for overseeing all administrative tasks in the office, including file management, vendor management, accounts payable, accounts receivables, monthly reconciliations of accounts, issuing payment, processing payroll, ordering supplies for projects, organization of the shop and materials, receiving and putting away deliveries. The candidate will also be required to attend projects sites, assist with site coordination and staffing organization. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to prioritize tasks effectively.
