What you'll be doing:

General clerical duties
-
Filing- Signed purchase agreements, upgrades and option selection lists, customer files, ensuring all documents are properly initialled, signed, and executed, etc.

Document management & Data entry – Scanning, photocopying, faxing, saving, and distributing electronic documents, electronic filing, excel data entry.

Document review – Ensuring accuracy of purchase agreements, possession letters, final summaries of sale, etc

Maintaining records of customer information in database using our CRM and Development + Design Tracking Database on a per sale basis.

Assisting the Area Sales Manager in providing projections and reports to achieve sales, marketing, and communication goals.

Safety, demographic, construction updates, traffic, and design tracking, reports

Preparing purchase agreements for the Area Manager, reviewing completed purchase agreements to ensure accuracy, and loading in DocuSign.

Reconciling and tracking deposit, wire transfer, and direct deposit receipts for each individual sale while communicating status updates to appropriate departments and delivering deposits to Head Office
- Welcoming customers in our Sales Centre when administrative duties are completed.
- Following up with current home buyers on a daily/weekly/monthly basis through multiple communication channels to ensure sales are firmed in a timely manner.

Maintaining a high level of professionalism and cleanliness in the sales center, show suites and appearance of marketing materials and signage.

Communicating any customer inquiries or concerns quickly and accurately with Sales Associates and Area Sales Manager.

Other duties as assigned by the Area Sales Manager.
What you bring to the team:

High attention to detail

Experience in a customer-facing clerical or administrative role, or previous sales experience
- Multi-family industry understanding is considered an asset Experience in (CRM) software is considered an asset.

Strong computer skills specifically in Microsoft Office (Word, Excel, Outlook, To-Do, OneNote).

Time management and organizational expert is a must, excelling in identifying priorities and setting clear deadlines and follow up, utilizing above-noted tools to ensure the team and any pertinent action items are properly informed and executed, respectively.

Understanding of when situations should be escalated to appropriate members of the sales team or management.

Work Hours- Mon-Thurs 2PM-8PM, Saturday and Sunday 12PM-5PM (Sales Centres are closed on Friday, and you will pick an additional day to take off)
Qualifications & Education

High School diploma
- Post Secondary Education in Business administration is considered an asset.
