HUMAN RESOURCES COORDINATOR

The Human Resources Coordinator will work closely with the Executive Team and Management Team and will assist with a diverse assortment of human resources and executive assistant projects that reflect the immediate needs of the organization. Typical tasks will include hiring and interviewing staff, administering training, managing employee records, benefits, and leaves, providing learning workshops, assisting with health and safety compliance, special projects, and enforcing company policies and practices.
REPORTS DIRECTLY TO: Executive Director & Curator
HOURS:
- Salaried, 37.5 hours a week (8/hrs per day, including a 30 min unpaid eating period)
- Monday – Friday, very occasional weekends and/or statutory holidays
REQUIREMENTS:
- 3+ years of work experience in a relevant field
- Post-Secondary Education in Human Resource Management or related field
- Thorough knowledge of employment-related laws and regulations
- Experience with Microsoft Office and Google Workspace is preferred
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Ability to prioritize tasks and to delegate them when appropriate
- Ability to act with integrity, professionalism, and confidentiality

HUMAN RESOURCE RESPONSIBILITIES:
- Recruitment - collaborates with managers to understand skills and competencies required for job openings, develop job descriptions, post jobs, conduct interviews and conduct reference checks
- Coordinate the hiring process - in cooperation with the Executive & management teams, oversee communications with new hires. This includes sending conditional offers, composing contracts, delivering new employee packages etc.
- Assist Sr. Management team with implementation of constructive feedback, discipline and termination of employees
- Provides HR support to management, and other staff when complex, specialized, and sensitive questions and issues arise; such as clarifying company policies, receiving employee complaints, mediating challenging conversations, providing reasonable accommodations, investigating allegations of wrongdoing, and terminations etc.
- Consult with the Executive team re: compensation and benefit trends based on research; make recommendations for best practices regarding staff retention
- Coordinate learning and professional development programs and initiatives for employees
- Maintain compliance with applicable employment laws and regulations, human rights laws and health and safety regulations and recommended best business practices and ensure annual training requirements are met (e.g. WHMIS, Violence & Harassment Training, First Aid, etc)
- In cooperation with the Executive Team, review policies and procedures to maintain compliance
- Coordinate programs and initiatives to prevent and reduce absenteeism, turnover, work related injuries
- Ensure all Employee records are complete, kept up to date and are uploaded to our secure cloud-based HR platform and assist with the onboarding of employees to their online profile, as well as provide training for employees re: accessing their profile, schedule, time away requests etc.
- Implement a digitized time-away-from-work procedure for all employees using our cloud-based HR platform
- Coordinate employment grant opportunities (e.g. Canada Summer Jobs) including completing grant applications, processing employee enrollment, and completing relevant reports and questionnaires. Assist with employment grant correspondances and audits as required (e.g. Service Canada)
EXECUTIVE ASSISTANT RESPONSIBILITIES:
- In conjunction with the Executive and Senior Management Team, provide assistance with project planning and management and strategic business planning
- Conduct thorough research, gather information, and provide reports on various projects. Examples include: industry standards, best practices etc.
- Prepare numerical and financial analyses for a variety of departments and revenue streams
- Assist with new policy and procedure development, as well as new training development and risk assessment composition
- Assisting with minute taking at meetings
- Administrative work as needed
- Attend bi-weekly operations meetings
- In cooperation with other staff, maintain a clean and tidy office environment
- Participate in scheduling meetings as needed
OTHER:
- Adhere to all Company policies, rules, systems and procedures which are outlined in the Cambridge Butterfly Conservatory Employee Handbook, as well as all Health and Safety policies and procedures and safe work practices
