About us
Opened in 1978, Bryony House is one of the largest impact organizations in Nova Scotia. We provide 24-hour emergency services for women, with or without children, escaping intimate partner violence. Each year, approximately 470 women and children stay with us, and 2,500 distress calls are answered. Our dedicated counselors are there to answer the 24-hour distress line and provide individual/group supportive counseling, public education, advocacy, and referrals.

The work we do is dynamic, and we are in a transformational period as an organization. Thus, Bryony House is looking for someone who is organized, flexible, and takes initiative. The Operations Supervisor is a new position to Bryony House; therefore, the successful candidate will have the ability to modify their role to meet organizational needs.
Principle Duties of the Operations Supervisor:
Coordination of Organizational Activities:
- Manage the overall organization of the shelter.
- Coordinate meetings, which may include arranging venues and procuring refreshments.
- Coordinate travel, which may include booking of airfare, hotels, conferences.
- Support the knowledge transfer of the various policies at the shelter.
- Manage volunteers and coordinate their placement within the organization.
- Develop a monthly staffing schedule.
- Help source and coordinate training activities
- Supervise household staff: household coordinator, cleaner and cook.
- Manage shelter inventory and order supplies where necessary.
- Establish and maintain contacts with outside service providers and consultants necessary to facilitate shelter operations.
- Attend management meetings to provide feedback on how operations can be more efficient.
Financial Operations:
- As a member of the Finance Committee, plan and manage the operational budgets in consultation with the Accounting Consultant and Fund Development Manager.
- Communicate and plan for spending variances and monitor and forecast departmental spending.
- Enter data in a timely manner, proactively maintain databases & keep accurate records.
- Maintain donation inventory and donor lists to issue tax receipts and thank you letters.
Maintenance and General Operations:
- Develop, manage and monitor a preventative maintenance program for all equipment.
- When required, investigate, review and evaluate equipment replacement needs, and assess purchase, rental or leasing options.
- Actively identify areas of improvement to advance current administrative processes and procedures.
- As a member of the OH&S Committee, ensure day-to-day activities are carried out in a safe manner to minimize risk to employees, working environment etc. Ensure building and operational compliance with provincial regulations.
- Manage the social media pages and champion the development of social media content.
- Occasionally provide support to troubleshoot minor issues with printers, computers, and phone systems.
Administrative Support and Document Management
- Provide administrative support to management. This may include drafting, proofreading and editing professional reports, documents, and presentations, letters, and other communication as required.
- Assist in the revision of policies, and procedures.
- Coordinate resources and information to modify the website as required.
- Act as point of contact for all documents and record management. Support and help maintain industry standards for documents and records.
- Managing internal meeting schedule.
- Support team alignment and efficiency with accurate minute-taking and prompt sharing of any applicable meeting follow-ups, managing action completion from meetings.
- Facilitate training on applications during onboarding of new staff. .
Qualifications:
- Bachelor's Degree and/or a combination of experience in Operations, Finance, Administration.
Assets:
- Understanding the cycle of abuse and its impact on women and children
- Knowledge of Trauma Informed Practice and Justice, Equity, Diversity, Decolonization, and Inclusion best practices..
- Proven record of dependability and reliability in an employment setting.
- Knowledge of commonly used computer programs including Payworks.
- Certifications: First Aid/CPR, Behavioral Crisis Intervention Training (MANDT, NVCI).
Conditions Of Employment:
- Clear criminal record check and vulnerable sector check
- Standard First Aid/CPR certification (Level C)
- Ability to complete core competency training and other training/recertification during the course of employment.
- Proof of full vaccination, in accordance with the “Nova Scotia COVID-19 Mandatory Vaccination Protocol in High-Risk Settings” order.
- Certifications: First Aid/CPR, Behavioral Crisis Intervention Training (MANDT, NVCI).
