Your future role at a glance:
At the center of senior management operations, your role is to provide essential support to the President as well as some of the Vice-Presidents in their day-to-day work. Your proactivity, critical thinking and communication skills make you a key element in the continuous evolution of the organization. As an active participant in your own success, you will learn alongside members of the executive team, guaranteeing discretion and confidentiality in your actions to support the development of high-level organizational projects.
This is a hybrid position located at Nordia's head office in Laval. You will evolve in a collaborative and innovative corporate culture, and join our teams of passionate people for 3 days a week - with the option of two days teleworking.
Responsibilities:
Here's a glimpse of your day-to-day activities:

Take charge of calendar management: prioritize requests, organize meetings, reserve rooms, plan business meetings;

Provide proactive assistance in managing and tracking daily tasks, while managing changing priorities and conflicting deadlines;

Participate in the organization of strategic meetings: identify and reserve rooms, coordinate the logistics of these events, reserve calendars and send out invitations, and participate in the preparation of material to be shared with participants;

Provide support for various team projects and deliverables, notably by proofreading or formatting documents;

Coordinate travel arrangements (itineraries, transportation, hotel);

Track expense receipts, enter reimbursement and credit requests in the system and follow up on them;

Handle confidential and sensitive information with due diligence and discretion;

Demonstrate foresight and proactivity in providing exceptional support to the management team;
- Ensure filing and record keeping, as well as contract management.

You know how to manage several tasks simultaneously. You can coordinate several projects independently in a fast-moving environment, and you place great importance on detail.

You demonstrate a high level of professionalism and integrity. You know how to handle confidential and sensitive information with discretion and tact.
- You are fluently bilingual (French and English), both written and spoken. You must be fluent in English and French to interact with French and English-speaking colleagues in Canada. You will be required to respond to customers in English between 30% and 60% of the time.

You have a good command of the Microsoft Office suite (mainly Word, Excel and PowerPoint).
