Job Summary
The Human Resources Department is searching for a highly professional individual to serve as the first point of contact for staff, the general public and candidates. In this role you will receive and welcome visitors and callers, offer direction and assistance, screen, and redirect telephone calls, identify problems and troubleshoot concerns by providing information or making appropriate referrals; support the collection, sorting and distribution of mail and courier services; contacting candidates for interviews, assisting with employment tests, and drafting form letters which involves processing/distributing confidential documents; printing, assembling, sorting, scanning, and filing documents, as well as keying these into HRIS/E-Recruit/Footprints electronic systems; and generating various related reports from these systems.

Regularly required to sit performing work on a computer.
Occasionally required to bend, stretch, reach, stand and walk within the office or clinic environment.
Regularly required to perform fine finger/precision work while sitting and using a computer mouse to send and respond to emails or work on documents.
Visual concentration is required while transcribing, entering, or formatting text/data.
Auditory concentration is regularly required when performing reception duties or answering the telephone. May experience frequent interruptions from public/clients.
Exact results and precision are constantly required when entering data/text, maintaining files and completing statistical reports.
Occasionally experiences time pressures/deadlines.
Job Qualifications
Education
Successful completion of a one-year Office Administration program from an approved/recognized college is required.
Experience
Considerable administrative experience, preferably in Human Resources, and demonstrated experience in customer service.
Demonstrated experience in MS Office is required and HRIS experience would be an asset.
Competencies
Demonstrated attention to detail, superior organizational skills, the ability to prioritize, excellent customer service skills.
Knowledge of collective agreement administration and compensation and benefits would be an asset.
Demonstrated exceptional problem solving, interpersonal/communication and organizational skills.
Ability to multi-task, meet strict timelines, and deal with competing demands.
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.
An Excel, and PowerPoint test may be administered by the Department of Human Resources. Scores of 70% are required.
Other
A satisfactory record of work performance and attendance is required.
- Proof of a current office administration program is required. To be considered current, it must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
