POSITION SUMMARY
Working within the Human Resources department and reporting to the Human Resources Manager the Human Resources Administrator is an entry-level position. The Human Resources Administrator will be the first point of contact between an employee and the company. The Administrator’s primary task will be a helping hand to the Human Resources division to complete administrative functions related to Employee Relations including attendance management, medical tracking, follow-ups from case management, documentation, and collaboration with internal teams. Typical duties include updating daily Human Resources documents, answering employees’ questions, and keeping trackers accurate and updated.
The Human Resources Administrator will develop a calendar and assist employees on their medical leaves. The Human Resources Administrator will handle the majority of the documentation related to Employee Relations functions.

WHAT YOU'LL DO
Primary duties:
- First point of contact with employees on HR-related issues.
- Provide administrative support to the Human Resources team and respond to emails and calls on behalf of the Human Resources.
- Prepare correspondence, arrange meetings, processing confidential reports and documents.
- Organize, maintain, and update internal databases and spreadsheets related to Employee Relations.
- Keep a track record of leaves such as sick leave, medical leave, maternity, etc.
- Administer annual performance by monitoring employee appraisals and reporting on completions.
- Take meeting minutes and action items.
- Frequently interact with managers and heads of various departments to disseminate information.
- Maintain schedule and coordinate calendar activities.
- Assist with administering training and development opportunities and tracking of completion.
- Compile and submit monthly reports to the Human Resources Manager, containing both narrative and statistical information;
- Keep up to date on current issues and matters related to Human Resources.
Relationship and team building
- Provide guidance to employees. Handling all employee queries, written or verbal with the utmost confidentiality.
- Work respectfully, positively, professionally, and collaboratively with team members and all levels of Seabird Island.
- Demonstrate behaviors, actions and attitudes that are consistent with Seabird Island’s vision, mission, culture, and values.
- Ensure effective and professional communications with all internal and external service providers, committees, and workgroups.
Duties and Accountabilities
- Cultivate professionalism, diligence, and dedication, ensuring quality service delivery at all times.
- Participate in case management.
- Assist with planning and hosting various events for employees.
- Collaborate to organize job fairs, orientations, and onboardings and work on relevant HR projects.
Other
- Assist Payroll by providing employee information on leaves and employee benefits.
- Assist with scheduling job interviews, contact, screen, and shortlist candidates as needed.
- Representing the image of Seabird Island Band at all times.
- Other duties or responsibilities as assigned by your Supervisor/Manager, Director, or the CAO
WHAT YOU BRING
Experience:
- 2+ years’ experience in an office environment.
- Experience with HRIS and ATS software preferred.
- Experience working with First Nations community is considered an asset.
- Experience presenting information in forms, tables, spreadsheets and report writing.

Requirements:

- Valid BC Driver’s License, Class 5 and clean Driver’s Abstract.
