Overview:
Term: 15 months
The Recruitment, Outreach & Programs Manager is accountable to the Administrative Officer, for the ongoing organization, development, evaluation, marketing and management of recruitment, outreach, and program efforts for both current and future undergraduate and graduate students. The position also has oversight on the execution of School Events as it relates to Computer Science, Women in Computer Science, and Women in Math Programs. This position collaborates directly with the Undergraduate Recruitment Committee and Graduate Committee.
Responsibilities:
Recruitment Management

Provides development and direction for the School’s recruitment plan through coordination with the chairs of the Undergraduate and Graduate Recruitment Committees

Coordinates recruitment plan activities and events with the Math Faculty and University-wide event organizers
-
Lead, implement, and evaluate School of Computer Science on-campus and virtual recruitment events and coordinate the School’s participation in Faculty an University-wide events
-
Organize volunteers, technology, venue requirements, food, and other logistics to successfully execute recruitment events
-
Respond to inquiries and concerns from prospective students and families applying to the Computer Science program
-
Arrange and organize tours with potential students to the School of Computer Science
-
Provide training and functional direction to volunteers to assist them in participating in recruitment events with other recruitment personnel across campus
-
Work with undergraduate and graduate team members within the Faculty of Mathematics to develop event plans and execution
Marketing and Communications
-
Represent the School of Computer Science on a university-wide, faculty-wide and departmental level through attending advisory groups related to recruitment, including undergraduate and graduate roundtable meetings and serve as the School’s main point of contact for incoming admission inquiries

Write, edit, and review recruitment and outreach materials developed for undergraduate and graduate programs

Assist in the creation and updates of Computer Science and Faculty of Mathematics marketing content, including brochures, website, one-pagers and banners
-
Design and order School of Computer Science apparel and swag to provide during events
-
Create marketing plans to target various prospective student audiences and monitor strategies as required

Coordinate with recruitment committee members, Brand, Creative Studio and other communications personnel to ensure correct branding is up-to-date and presentations are relevant to current program information

Write and circulate minutes from committee meetings or supervise the delegation of these tasks and edit copy
Training and Supervision

Hire, manage, train, and evaluate cooperative education students each term to assist with event planning, marketing updates, tours, and other recruitment initiatives
-
Maintain up-to-date training materials, tour script, and FAQ documents for cooperative education students, volunteers and other recruitment and event personnel to reference each term

Overview events and outreach initiatives planned by the School’s Events Coordinator as well as the Women in Computer Science Outreach Coordinator

Offer advice, planning and necessary resources to the Events and Outreach Coordinators as needed
Oversight, Direction, Coordination of Programs -
Provides direction and support of CS Events, WiCS Programs and WiM Programs

Allocation of staff and coop students to support the various activities managed by this group
-
Coordination of the budget process and financial management as it relates to this area
-
Oversees the various activities and coordination of activity/event schedules
Administration and Financial
-
Maintain a working knowledge of all Computer Science programs and joint degrees in order to correctly answer inquiries from prospective students and families. Also maintain general knowledge of programs within the Faculty of Mathematics

Continue to learn through professional development, about current recruitment and marketing resources and best practices and be able to recognize opportunities to improve events and activities

Assist in the planning and booking of visitor travel, including flights, ground transportation, lodging and meals
-
Assist Undergraduate Recruitment Committee and Graduate Recruitment Committee with annual budgets
-
Monitor recruitment purchases and expenditures for marketing and swag materials
-
Complete reimbursement and expense claim forms
Qualifications:
- Bachelor’s degree in communications, marketing, events planning or related discipline or relevant work experience
Experience in communications, public relations, or events role with thorough understanding of marketing and enrollment management principles -
3+ years of staff management and operational leadership experience

Familiarity with hiring, training, supervising others to delegate tasks, provide feedback, track progress, and maintain positive working relationships with volunteers and team members

Demonstrated experience developing, monitoring, and managing budgets, including developing financial projections, and participating in financial planning
-
Demonstrated customer- and stakeholder-friendly approach to problem solving is required
-
Experience working in a student engagement, educational, recruitment setting
-
Experience working with faculty members within a department
-
A high level of professionalism, a positive attitude, and the ability to meaningfully engage with a variety of people on- and off-campus
-
High level of comfort and skill in writing, presenting, creative design and verbal communication
-
Knowledge of Faculty of Mathematics and School of Computer Science programs, University of Waterloo admission process, and student life activities is an asset

Proven ability to take initiative and work independently to manage multiple projects as well as strong organization, time management and work ethic
-
Proficiency in Word, Excel, PowerPoint, SharePoint, WCMS and other creative design and web management software

Demonstrated ability to work autonomously with overarching goals to guide decision-making
