Your Purpose
Join our team and assist in orchestrating the success of University Hospital Foundation's prestigious Signature Events, where your administrative finesse, collaboration prowess, and volunteer management skills will shape unforgettable experiences and drive philanthropic impact.
Specific Accountabilities
In this role, you'll be responsible for supporting and ensuring the success of the University Hospital Foundation Signature Events, including Festival of Trees, Full House Lottery, and Heart Pledge Day. This involves providing administrative and logistical assistance, coordinating committee meetings, maintaining event data systems, and creating comprehensive plans for each event. You'll also play a crucial part in post-event evaluations, liaising with venues, collaborating with various teams, and identifying revenue-generating opportunities. Close collaboration with our Donor Engagement and Marketing/Communications teams will enable us to stay updated on industry trends to continually enhance our events.
As a key player in Volunteer Management Support, you will actively seek out opportunities to leverage volunteers for signature events and general operations within the University Hospital context. Keeping meticulous records of volunteer information, attendance, and schedules will be integral to your responsibilities.
Your administrative expertise will be instrumental in the budget planning process, and you'll also be responsible for invoice preparation and processing. In addition, you'll manage meeting scheduling, coordinate calendars, catering, logistics, and provide in-person customer service support at donor offices as needed.
Qualifications
Diploma in event management, business, or non-profit management combined with one year experience with special event management or volunteer coordination preferably in a non-profit environment.
The ideal candidate should possess strong oral and written communication skills, excel in multitasking and prioritization, thrive in dynamic environments with shifting priorities and tight timelines, demonstrate a successful track record in coordinating and executing special events, maintain a high level of professionalism with a commitment to confidentiality, and exhibit strong capabilities in volunteer management and coordination. Competence in and strong technical knowledge of Microsoft Office Suite.
Flexibility to work after hours and / or weekends as needed to attend the Signature Events.
A combination of education and experience will be considered.
