Job Description
We are looking for a dedicated, hardworking Office Assistant to join our office team. The ideal candidate would be detail oriented, and have good time management skills. Our fast-paced office requires the ideal candidate to be able to multi-task, work independently, as well as in a team, and be well organized. Proficiency in Microsoft Excel is a requirement of this position.
Responsibilities:
General Administrative Duties
Inter-company Fuel billing, posting, COGS
External Fuel billing, posting, COGS
Broker Fuel Onsite/Petro Billing, Posting and COGS
Retrieving multiple inv’s from website, posting
Basic Data Entry: AR/AP invoicing
Payroll – (Simply Only) / potentially 1-3 companies
All Business filing
Weekly Scrap Purchase entries in Simply, file
Monthly Fuel Adj invoice in simply, file
Month end Vendor statement Reconciliation for all companies
Off-site: Deposit pick-up at other location in town / Collecting mail from Post office & preparing Deposits Bank Deposits & occasionally collecting PC while at bank (will include reimbursement per km)
Posting all deposits for all companies in Simply
Y/E- boxing and new file set-up for all 8+ companies
Y/E- Monthly Posting for Leases/Loans - starting Jan 2024
Monthly Posting of AR Internal sales, posting in corresponding company - starting Jan 2024
Qualifications and Skills:
- Proficient in Microsoft Excel
- Fluency in English, both spoken and written
- Ability to multi-task
- Ability to work independently and in a team
- Organization
- Detail oriented
- Time management
- Must have own working and reliable vehicle for in town daily off-site Deposits (reimb per km)
Benefits:
- Eligible for benefits after 3 months, min 20hrs per week
Training:
One on One training will be provided on site by the corporate controller over 3 months until all the above responsibilities have been taught
Part-Time: 20-30hrs a week
Monday to Friday: Monday, Thursday, Friday are a must; between 11am-3pm approx. More details will be discussed with potential candidates.
Ability for hours to increase based on staffing coverage needs
Salary: Staring at min wage. After 90 days, wage to be negotiable based on performance and proficiency review
